Eliminating manual data entry at Pevo

The challenge

Pevo, a leading Belgian dental laboratory, faced a significant challenge in managing the influx of orders through 3Shape, a dental scanning tool widely used by Belgian dentists. Each order arrives as a PDF containing a 3D scan of a patient's dentition along with detailed instructions for dental restorations such as screw-retained crowns, and bridges. This information is then manually entered into Pevo's internal system, Q-Bridge. This process involved opening each order, accepting it, and meticulously copying all data from the PDF into Q-Bridge — a time-consuming task prone to errors.

Streamlining operations with AI

To streamline this process and eliminate all manual steps, we developed our tool to 'listen' for incoming orders on 3Shape. By using a rule-based AI model, our tool can automatically accept orders and extract relevant information from the order forms. Of course, we prefer to keep a human in the loop, so users can still log into the tool and review the extracted data alongside the original 3Shape PDF. With a simple click on 'save', the information is seamlessly transferred to Q-Bridge, significantly reducing manual effort and virtually eliminating data entry errors.

Saving time

Our tool has processed over 1600 orders in just two months, translating into a massive time-saving equivalent of two and a half workweeks. By automating the data entry process, we've freed up valuable time for Pevo's staff and enhanced accuracy and efficiency, allowing them to focus on more strategic tasks and improve overall service delivery.

Thanks to this tool's success, Pevo is exploring further AI applications to automate other repetitive tasks. This initiative is, of course, part of a broader goal: seeking efficiency gains across various processes through digital transformation.
